We have a vacancy for a Head Office Administrator. This is a busy and varied role providing general assistance to our core services including the Human Resources and Finance departments and working closely with the Central Support Manager to administer the provision of our training services. This includes liaising with other agencies and service users to ensure all processes for accessing ILA funding, booking courses and tests and ensuring certificates are distributed accurately. The role will also involve providing a front line reception and telephone reception in our head office.
Based in the west end of Edinburgh, this role will include general administration and reception duties including incoming and outgoing mail, stationery orders, petty cash and document production. The support to our training services requires a high level of accuracy in recording information precisely and timeously, both in paper and electronic form, with a willingness to assist service users and ensuring all steps in a multi-agency process are followed accurately. Support to Finance and Human Resources will require paper file and database maintenance, document production and at times dealing with sensitive information.
General office experience, including database input, and knowledge of Microsoft Office are essential. Excellent communication skills and customer service skills as well as the ability to work on your own initiative are also essential. Experience of working with processes and people to a high level of accuracy as well as a keen eye for detail would be desirable.
